The assessment of exams in myCampus takes place in three steps:
There are two ways of carrying out these steps in the system. We will show you both possibilities in these instructions so that you can find your personal processing method.
In addition, a distinction is made between two basic lists when entering grades:
Call up the application „My Supervised Exams“.
The application „My Supervised Exams“ takes you directly to the tabular overview of the exam dates for which you are registered as a supervisor. This is the so-called list of exams/assessment in the „Assess Exams“ view.
The column „Candidate“ gives you information about the number of registered students. The number in brackets indicates how many of the students have already been assessed. The other columns provide information about the date and time of the exam, the title of the exam event and much more.
You have the option to customise the display and arrangement of selected table columns. To do so, click on the tab „Settings“ and go to „Change“. A window opens. Here you can deactivate/activate certain columns using the checkboxes. With the help of the green arrows you can move the columns and thus determine the order in which they are displayed.
You can filter the contents of the individual columns of the examination/assessment list or sort them in ascending or descending order. To do this, use the magnifying glass symbol and the staircase symbol next to the column heading. When a filter or sort is active, the symbol turns red. To cancel an individual filter, click on the respective symbol and select „Remove filter“. To cancel all active filters, go to the „Action“ tab and select „Remove filter“. The system informs you when filters are active when you call up the examination/assessment list. As soon as you sort a column in ascending or descending order and the number of entries covers several pages, you will also be offered an „index“ at the top left of the table, which simplifies navigation over several pages.
To assess an exam, click on the button „Assess“ in the respective row of the appointment or on the link X (Y) in the column „Candidate“. This will call up a specific exam date and take you to the so-called candidate list in the „Assess Exams“ view.
Each registered student corresponds to a row in the table displayed. Enter the grade per candidate in the „Grade“ column. The selection menu tells you which grading scale the assessment is based on. Confirm your entries with „Save“ and remain in the list of candidates or click on „Save and close“ and return to the list of exams/assessment. Click on „Cancel/close“ to discard your changes.
The „Topic“ („Thema“) field may not be used for the time being. Please do not enter any information into this field, and keep it empty. The field is being used for other purposes by Student Services.
2. Printing and signing the examination protocol
With your grades saved, the system will show you the next step: generating the examination protocol (= grade list). Please do this only when all candidates have been assessed. In exceptional cases (early submission and deadline extensions for written papers) please read on elsewhere.
You can minimise the system notes by clicking on the arrow (then the notes remain) or close them via the X.
If you are in the list of candidates, click on the „Print“ tab and select the examination protocol.
If you are in the list of exams/assessment, select the fully assessed exam date by ticking the checkbox on the left side of the table. Open the tab „Print (for selected exams)“ and select „Examination protocol (marked dates)“. You can also create the examination protocol for multiple dates at the same time. To do this, mark multiple exam dates in the table.
The examination protocol is created for each exam date. Depending on your browser settings, the document opens in a new tab or is offered for download. Make sure that your browser allows pop-ups for myCampus (a note may appear below the browser navigation). Check your entries and sign the protocol. Then send the signed examination protocol to Student Services via internal post or e-mail (studierendenservice@leuphana.de).
The exam is validated with the help of the control number on the examination protocol. The control number protects against manipulation. The signed examination protocol is required for legal reasons and is archived.
If the document does not open, check your browser pop-up blocker or use another browser.
3. Submission to the specialist department
After printing the examination protocol, the system will show you the next step again: the submission to the specialist department, i.e. Student Services. This step is a prerequisite for the announcement of the grades in myCampus and is equivalent to a task transfer within the system.
If you are in the list of candidates, click on the „Operations“ tab and select „Forward to student service“.
If you are in the list of exams/assessment, select the fully assessed exam date via the checkbox on the left side of the table. Open the tab „Operations (for selected exams)“ and select the action „Forward to student service“. You can also select and submit multiple dates at the same time.
A window opens in which the submission is confirmed by clicking on the „Continue“ button. A notification of successful submission then appears, which can be closed with a click on the „Quit“ button. Now you can no longer make any changes to the grades. The assessment process is now completed for you as the examiner.
It is possible to print the protocol and send it to Student Services in one step. To do this, select the option „Submit examination protocol“ under „Print“ in the list of candidates. The examination protocol is generated and you can confirm the submission.
The status indicator in the list of exams/assessment
As long as an exam date is being processed by the examiners (status: grade not recorded, grade recorded, examination protocol not printed, examination protocol printed, submission to specialist department pending), the status indicator is orange.
If the regular processing time of an exam date has been exceeded, the status indicator is red.
As soon as the examination protocol has been printed and sent to the specialist department, the status indicator is green.
The display of the exam date disappears from the examiners' view when the specialist department has validated and published the grades. Then it can only be found in the view „Show Valid Exams“. You set the view in the menu item of the same name.
How to handle individual exam dates in an exam period
Exam dates in myCampus always have a specific exam date and time (time of the start of the exam and optionally time of the end of the exam). For exams that take place over several days in a period, the start date is always given as the specific exam date and the time 00:00 for the start of the period. A note informs about the total time span of the period (from day X xx:xx hrs to day Y yy:yy hrs) in which individual exam dates can take place.
Students register for the exam date. You can then arrange an individual exam date with the individual registered students orally or in writing (see section „Notifying students“) and enter it in myCampus. Open the exam date in your list of exams/assessment. You will land in the list of candidates. In the row of a candidate, you now have the option of recording the individually agreed exam date in the column „Exam date“. This should be after the specific start dates and within the specified period.
The date cannot be before it.
How to deal with extensions of deadlines for written papers
If a student has a medical certificate, the deadline for submitting a written paper can be postponed by the period of sick leave. The doctor's certificate is processed by Student Service. If multiple candidates are registered for an exam date and the extension of the deadline only affects one student, all other students who submit their papers on time can already be assessed and receive their grades. To do this, proceed as usual according to the three steps in the instructions „The standard assessment process“. Leave the field in the „Grade“ column blank for the student with the extended deadline.
When creating the examination protocol, a system message appears stating that not all candidates have been assessed. Confirm the action „Move assessed students to a copy of the exam and print examination protocol“ with the button „Perform Changes and Print Protocol“. Continue according to the three steps in the instructions „The standard assessment process“.
The exam date now appears twice in your list of exams/assessment: Once with the candidates who have already been assessed and once with the candidates who have received an extension of the deadline.
Students with an extension of the deadline remain in the original exam date. Here, the submission date must now be individually adjusted in the column „Exam date“ according to the certificate. As soon as the grade has been determined, follow the three steps in the instructions „The standard assessment process“.
How to deal with early submissions of written papers
Sometimes students hand in their papers early in order to receive their grade in time, e.g. for job/university applications. In this case, a separate exam date is required for the respective student. Please contact Student Service for this. In the newly created exam date, you can then record the grade for the individual candidate separately, print the examination protocol and send it to Student Service.
The publication of grades is the sole responsibility of Student Service. Therefore, please do not use the action „Publish Entries in Columns „Grade“ and „Information“. This moreover affects all registered students and cannot be carried out for individual candidates.
Assessment of the oral examination interview (thesis)
Exams such as the oral examination interview for the final thesis, where more than one examiner gives a grade which is then included in the overall grade, differ from the regular assessment process in myCampus. If you are involved in an oral examination interview for the thesis as an examiner, the following applies:
The exam date will be created by Student Service in myCampus according to the date sheet submitted. The student is registered and you are entered as examiners. As soon as the appointment is set in the system, it appears in your list of exams/assessment.
Student Service enters the grades for both examiners and closes the exam date with the validation and publication of the grades for both the oral examination interview and the final paper.
Call up the examination dates of an organisation
The examination dates of a school or institute can be found in the application „Exam Administration“.
Select the organisation for which you would like to have the examination dates displayed.
Then open the module „Assess exams“. The examination/assessment list appears, showing you all open examination dates for the organisation.
Now continue with the standard assessment process and, if necessary, find out about the special use cases.
